This is a reminder of the importance of safely storing all documents, clients files, data and CF&P in their designated folder, especially those containing sensitive or confidential information. Keeping files in the correct location helps us maintain proper organization, protect data integrity, and ensure that only authorized IBFMs have access.
To support our security protocols
- Upload or save documents only in the assigned secure folder in our InsBOSS Shared Drive, which is shared by Management, support, and the IT department.
- Avoid storing files and data on desktops or devices that are not authorized.
– Exception: for those accounts that require online storage to be synced on their VA’s computer as part of their process.
Example. Google Drive, One Drive, Dropbox and more. - It is strictly prohibited to duplicate or copy sensitive and confidential documents such as HR, IT, Operations, and CFnP files without proper authorization.
- Double-check file placement before and after saving.
- Report any misplaced or missing documents to the IT Department immediately.
- Sharing files and folders with others without authorization is prohibited.
- Send an email to itsupport@insboss.net for assistance.
- Only accessed the files and folders on the devices issued by InsBOSS and authorized devices.
– To the authorized support team members, please notify itsupport@insboss.net if you plan to access the company email on your mobile devices.
